Frequently Asked Questions

Can I see a demonstration of the system or tutorial on how it works?

Yes we have a video which explains how the system works by clicking here.

Can you guarantee all my DBS checks will cleared within 48 hours?

The time for results on applicants will vary but the majority will have a result within 48 hours. Applicants that have multiple addresses will usually take longer to process as they need to be checked through multiple local authorities.

Can I setup more than one person on the system?

On the initial registration you can have a primary contact and an additional user setup at no extra cost.

How will I receive the disclosure certificates?

As you may know, the DBS no longer send copies of the Disclosure certificate to employers.

There is only one copy issued which will go to the applicant at their current address as stated on the application.

However, we are pleased to confirm that for ‘clear’ results our online system will provide a pdf document showing the details of the application and the ‘clear’ result. This can be viewed via the manage application section of the system, and downloaded as a paper copy.

If the result contains criminal information, the system will advise you of this, and as someone’s criminal history cannot be sent via the internet, you will need to see the applicant’s copy of the Disclosure.

How do I pay for my DBS checks?

Debit/Credit Card

All accounts are generally set up with payment online using card details via Sagepay. Registered users approving applications will be prompted to make payment at the final approval stage in ‘Manage Applications’. Sagepay will add a 98p charge to card payments made using this system.

Direct Debit

Monthly invoicing with payment via Direct Debit is also available. The Direct Debit fee levied by the Bureau that collects the payment is 50p for any month that applications are made (maximum twice a month). Direct Debit payments are subject to a credit check which is free.

Can applicants take their DBS certificate to another organisation?

Yes this can be done by using the DBS update service, applicants then keep their DBS certificates up to date online and allows employers to check a certificate online.

You can register online as soon as you have your application form reference number. You can ask for the number when you apply for your DBS check.

Or you can wait and register with your certificate number when you receive your DBS certificate. If so, you must do so within 19 days of the certificate being issued.

You can view your details online once you’ve registered.

To check the progress of your DBS certificate use the DBS tracking service.

Registration lasts for 1 year and costs £13 per year (payable by debit or credit card only). There’s no charge if you’re a volunteer.
